About the Role Our firm is seeking a Roofing Project Coordinator to support a large, enterprise-level retail client with a nationwide portfolio of facilities. This contract role focuses on coordinating roofing capital replacements, warranty work, and assessment-driven projects. The ideal candidate is highly organized, data-driven, and comfortable working across multiple systems to maintain accurate, real-time visibility into project status and milestones.
This role partners closely with facilities, construction, vendors, and internal stakeholders to ensure roofing projects are activated, tracked, and closed out accurately and on schedule.
Job Description The Roofing Project Coordinator is responsible for portfolio administration, project activation, milestone tracking, and cross-functional communication across a large roofing program. This individual ensures data integrity across systems, supports work order management, and enables smooth project execution from activation through closeout.
Portfolio and Data Management - Retrieve and validate site drawings for planned and unplanned roofing projects
- Maintain and update Smartsheet to provide real-time portfolio visibility
- Clean, organize, and archive legacy Smartsheet data
- Manage Smartsheet access and Dynamic View permissions
- Ensure roofing portfolio data accuracy in asset management systems prior to updates
- Track skylight-related dates and ensure milestone accuracy
- Support setup of new facility asset portfolios
- Maintain roofing assessment data, including updating results, generating lists, and supporting schedules
Project Activation and Work Order Management - Open and manage project locations in enterprise systems to support activation
- Bulk load work orders for roof replacement projects
- Create and manage warranty-related work orders
- Bulk load assessment follow-up work orders for vendor execution
- Support roofing operational center processes
- Manage project closeouts to ensure timely documentation completion and vendor payment
Milestone Tracking and Communication - Maintain project milestones in Smartsheet and project tracking systems
- Support contract and compliance documentation tracking as needed
- Draft and manage communications for store and field teams related to planned and unplanned work
- Monitor internal collaboration channels and flag legitimate issues to reduce unnecessary escalations
- Coordinate kickoff calls, milestone reviews, and status meetings
- Support ad hoc reporting and business reviews
Success in This Role Looks Like - Roofing projects are activated and completed on time
- Portfolio data is accurate, current, and aligned across all systems
- Projects are closed out cleanly, enabling timely vendor payment
- Proactive communication reduces escalations and project disruptions
- Stakeholders have improved visibility into milestones and project status across the roofing portfolio
Qualifications Required - Experience coordinating construction, facilities, or capital projects in a multi-site environment
- Strong data management skills with demonstrated experience maintaining portfolio accuracy
- Proficiency with project tracking tools such as Smartsheet or similar platforms
- Experience working with work order or enterprise systems (e.g., SAP-based platforms, asset management systems)
- Ability to manage multiple projects simultaneously with strong attention to detail
- Excellent written and verbal communication skills
- Ability to work cross-functionally with internal teams and external vendors
Preferred - Experience supporting roofing, building envelope, or facilities maintenance programs
- Familiarity with warranty work and assessment-driven capital planning
- Experience supporting large retail, commercial, or distributed facility portfolios
- Ability to support reporting, business reviews, and executive-level visibility
